How an AI appointment chatbot cuts your business's no-shows

If your business runs on appointments, you know the shiver: it's 10:07, the 10:00 client hasn't shown up and no one is going to fill that slot now. No-shows —appointments the client simply doesn't turn up for— tend to eat between 10% and 20% of the calendar at clinics, salons, physiotherapists and workshops. - Instant booking, 24/7. A huge share of appointment requests arrives outside working hours. The chatbot handles them as they come in, which is when the client is decided.
- A reminder with options. 24 hours before, the client gets a message with three buttons: confirm, reschedule or cancel. Replying takes two seconds, so they reply.
- The freed-up slot gets filled. If someone cancels, the system offers the slot to the waiting list automatically. The cancellation stops being a loss.
- Everything is logged. Every appointment enters the calendar without transcription errors and the client's record updates itself.
The typical result of combining reminders with confirmation and a waiting list is a reduction in no-shows of more than half. No magic needed: just inhuman consistency, which is exactly what a machine does better than anyone.
What to demand of any appointment solution
